Internal apps & portals

The spreadsheet three people quietly depend on

It was a spreadsheet. Now it's load-bearing, and it has no owner.

The critical spreadsheet, shared inbox or Access database your operation actually runs on — rebuilt as a proper internal application with permissions, history and an interface built for the job.

How it runs today

You will recognise at least three of these.

  • A workbook with twelve tabs, colour-coded rules nobody documented, and formulas that break when someone sorts a column.
  • Version control is a filename: `_v4_FINAL_updated_Rob`.
  • Everyone has full edit rights, because permissions were never the point when it was one person's tracker.
  • Half the value is in comments and cell notes, which no report can read.
  • The person who built it left, and the remaining users are afraid to change anything.
The tells

Signals it is costing more than anyone has measured.

  • A single accidental edit could cost you real money, and there is no undo.
  • You have no idea who changed a number, or why.
  • It can't be used from a phone, so field or floor staff phone someone who can.
  • Two departments keep their own copy, and the copies disagree.
  • You've priced a commercial tool and it does 20% of what the sheet does, plus 300% you don't need.
Rebuilt from the ground up

What it becomes.

The spreadsheet's logic is the specification — it just needs a system underneath it. The columns become a real data model with types and validation, the colour rules become status the system enforces, and the tabs become screens designed for what each role actually does rather than for what fits in a grid. Permissions mean a warehouse lead can update a status but not change a price. Every edit is attributable and reversible. And because it is a real application, it can do the things a sheet fundamentally cannot: notify someone, be used on a phone at a job site, expose an API, and enforce a rule at the moment of entry instead of surfacing the error a month later in a reconciliation.

What the system does

  • A real data model with validation, so bad data is refused rather than cleaned up later
  • Role-based permissions — view, edit, approve, and export as separate rights
  • Full change history, with the ability to see and restore a prior state
  • Interfaces built per role, including mobile for people not at a desk
  • Search, filter, sort and pagination that stay fast at real volume

What it connects to

  • The systems that already hold the master data, so nothing is re-keyed
  • Reporting and dashboards, reading from one source rather than an export
  • Notification channels — email, SMS or chat — for the events that matter
  • Your identity provider, so access follows joiners, movers and leavers

It augments the systems of record you already run. Nobody is asking you to replace your accounting package.

The first release

Where we would start, and how long it takes.

We take the live workbook, model it, and stand up a working application with the core screens and the real data migrated in about five days. Users run both in parallel for a week — the sheet stays authoritative until they trust the app, which is usually faster than anyone expects once they see their own data in it.
